October is, without doubt, the spookiest month of the year and working in HR can bring its own nightmares.
Here at People Matters we thought we’d get in to the spirit (no pun intended) of Halloween and look at the major nightmares HR teams can experience, and how to avoid them.
Lost HR documents
No matter how far technology has come in recent years, there still seems to be half a forest of paperwork in every HR office. Perhaps it is a necessary evil, or maybe we haven’t adapted well enough to the new options that are available to us. Whatever the reason, if you have hard copies of signed contracts, expenses forms or even holiday requests lying around, there’s always the chance that something is going to go missing.
Lost documents can occur for any number of reasons, but the most common include lack of organisation or failure to hand over ownership effectively. We often hear of situations where an important document has been placed on someone’s desk, only for them to not realise, and for it to get caught up in another pile of paperwork – not to be seen again for months.
One of the best ways to get around this is to try and move to a more IT based and paper-free process. Implement a logical electronic filing system, where files are easily accessible by those who need them. Most importantly though, don’t forget to make sure you have suitable back-ups!
Chances are, if you’re in charge of rotas and holiday approvals, on a long enough timeline, you’re going to make a mistake. One day you’ll come in to the office and realise that not enough people have joined you. Too many people have been approved leave, someone’s at the dentists and another team member is off sick.
Keeping track of where everyone is, and where they should be, can be difficult; especially if you work in a large and busy office. If you have happy, motivated and enthusiastic staff members who are more than competent in their work, then you won’t go far wrong. However, if your staff feel like they’re not treated properly, aren’t confident about the career prospects and don’t feel valued by you, then there’s a good chance they’re going to start looking for another job.
Thinking of ways to demonstrate how much you value your staff is vital to help reduce the chances of this happening. Look at ways you can add benefits to your staff packages, whether that’s Duvet Days, extra holidays or bonuses. You should also consider investing in training and development geared towards their own aspirations within the company.
